Member Privacy Policy

Your members are governed by your organisation’s privacy policy.

This page can be linked from your own privacy policy to explain what Range Mate will do with your member’s personal data in our capacity as a data processor.

Organisation member data

Range Mate provides secure storage and membership processing for your organisation’s member data in our capacity as a data processor.

What personal data does Range Mate store and why?

We will capture and store the personal data for members as defined by your organisation.

We will also collect for support purposes:

  • The name and version of your browser and IP address.
  • Interaction with our site.
  • Emails sent to Range Mate mailing lists.

How does Range Mate protect member’s data?

How long does Range Mate keep personal data for?

We will keep personal member data for members with a valid membership.

We will retain historic records containing personal member data for a period of at least 5 years. This includes:

  • Expired and archived member records.
  • Organisation history such as payments, range logs and attendance records.
  • Other member records such as firearms, shooting records and FAC/SGC certificates.

We will retain the following for support purposes:

  • Emails sent to Range Mate mailing lists are kept for 45 days.
  • Database backups and application logs are kept for 90 days.
  • System logs are kept for 1 year.
  • Organisation and member data will be kept for a minimum of 6 months after a plan has been cancelled or expired so it can be recovered. You can ask us to remove it sooner.

Remember: your Club is ultimately the data controller and therefore responsible for your member’s data. You should take regular offline backups and keep records in line with your obligations to the Home Office and the NRA.

Who does Range Mate share personal data with?

We will never sell or trade your or your member’s personal data.

You are under a legal obligation as a Home Office Approved and/or NRA Affiliated Shooting Club to share certain data with your local police force and/or the NRA. Range Mate is built to automate and assist you with that, but it is up to you as a Club to decide if this happens, and where you share this data to. You are responsible for making your users aware of this fact in your Club’s own Privacy Policy.

We may share personal data with our sub-processors to implement site functions such as hosting, email or payment processing.

Who has access to personal member data?

  • Members who are given administration rights can see all personal data held by the organisation.
  • Members can view and amend their own data.
  • Range Mate support may access personal member data if instructed by a current organisation administrator with write access.

Organisation contact data

Range Mate stores your Club contact data in our capacity as a data controller alongside your member data.

What contact data does Range Mate collect and why?

We will always collect:

  • A contact name, email and a telephone number for the organisation so we can contact you.
  • The name and email of all organisation administrators so we can validate support requests.
  • The name and email of any administrator making payment to Range Mate for our accounts.

Is any organisation data made public?

Yes. By default your Club is included in our public club directory so prospective members can find you. The directory shows only your Club's public-facing details, such as name, general location (town and county), disciplines, affiliations, public website, public contact email, joining information and logo. It never includes your members' personal data, nor your private administrator contact details.

The directory listing is optional. You can hide or remove it at any time from your Club settings, or by contacting us.

How long does Range Mate keep contact data for?

Organisation contact data is kept for 6 months after a plan or trial has expired so it can be recovered. You can ask us to remove it sooner.

We will keep Range Mate payment data (the fees you pay to us for the service) for 10 years.
